1. Who handles your information
Heatdial Ltd is the data controller for personal information it receives in connection with enquiries and its heating services. Company registration number: 12959688. 2. Information you provide
When you contact Heatdial by phone or email, information may include your name, contact details, property address, details of your heating system, your enquiry and correspondence about the work. Please only provide information relevant to your enquiry.
When you submit a website enquiry, your contact details and the information you enter are sent securely to Heatdial by email. Please do not include passwords, payment details or sensitive personal information. The forms do not accept attachments.
Providing enquiry information is voluntary, but we may be unable to respond, quote or arrange work without the relevant contact and property details. We do not use this website to make automated decisions with legal or similarly significant effects on you.
3. Why information is used
Enquiry details are used to respond to your request, understand the work needed, prepare a quotation and arrange services. Where you ask us to take steps towards a contract, or information is needed to perform an agreed contract, the lawful basis is contract.
Relevant records may also be used to comply with legal obligations. Legitimate interests may apply to ordinary business administration, handling complaints and protecting the security of the website, where those interests are not overridden by your rights.
An enquiry is not consent to receive unrelated marketing. This website does not offer a mailing-list signup and does not add enquirers to a marketing list.
4. Website operation and service providers
The website is provided through Pulset and hosted on Vercel. Hosting infrastructure may process technical information such as an IP address, request time, requested page and browser information to deliver and secure the site.
Pulset operates the website and enquiry delivery on Heatdial’s behalf. Enquiries pass through the website handler and Amazon SES for delivery to Heatdial’s inbox. Pulset does not keep a separate database of these enquiries or save their contents in application logs. Heatdial’s email provider stores the delivered message as part of its correspondence.
Vercel also provides automated security checks and request limits to reduce spam and protect the forms. These checks use technical information about the browser and request. The information you type into the enquiry is not sent to an AI moderation service, and no automatic copy is emailed to the address entered in the form.
Business contact information may be handled by providers supporting email, communications and administration, and by professional advisers or authorities where appropriate and lawful. Access should be limited to what is needed for the relevant purpose.
5. Google Maps and external services
The Contact page loads an embedded Google map only after you allow Google Maps in Cookie settings. Loading it connects your browser to Google, which receives technical information including your IP address and may use cookies or similar technologies under its own policies. You can withdraw permission using the Heatdial mark at the bottom-left of each page.
Links to Google reviews, Google Maps and social platforms take you to services operated by those providers. Information you provide on those services is governed by their privacy information. See https://policies.google.com/privacy for Google’s policy.
7. How long information is kept
We keep personal information only for as long as it is needed for the purposes described in this notice. The period depends on the information and why we hold it.
For enquiries that do not lead to work, we consider whether the enquiry is still active and whether follow-up or a complaint needs to be resolved. For customer and work records, we consider the ongoing service relationship, servicing or warranty needs, and any period in which a claim may be brought. Financial and legally required records are kept for the period required by the relevant law.
Information needed for an unresolved complaint, dispute or legal obligation may be retained until that matter is settled and any applicable record-keeping requirement has ended. Information no longer needed is deleted or anonymised. Cookie preference storage has the separate duration shown in our Cookies policy.
8. International processing
Heatdial is based in the UK, but the providers supporting this website may process information in other countries, including the United States. UK location does not mean that all website information stays in the UK.
Vercel publishes its international processing and transfer provisions in its data processing terms at https://vercel.com/legal/dpa. These include contractual safeguards for UK transfers. If you enable an external service such as Google Maps, that provider also handles information under its own privacy and international transfer arrangements. Google explains these at https://policies.google.com/privacy.
Where we arrange a transfer of personal information outside the UK, we require an applicable UK adequacy arrangement or appropriate safeguards, such as approved contractual terms. Contact us for information about the safeguards relevant to your information or to request a copy.
Amazon SES is configured in its London region for website enquiry delivery. Amazon Web Services may also process limited service data outside the UK under its data protection terms and applicable transfer safeguards.
9. Your rights
Depending on the circumstances, you may ask to access or correct your personal information, request its deletion, restrict its use, object to processing or receive certain information in a portable format. If processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.
Contact Heatdial using the details above. We may need to verify your identity before responding. Rights are subject to applicable conditions and legal exceptions.
10. Concerns and complaints
